The University of Texas Health Science Center at Houston Implements TracDat for Assessment and Continuous Improvement
New Initiative to Focus on Institution-Wide Strategic Planning
and Student Learning Outcomes Assessment

With the preparation underway for the Southern Association of Colleges and Schools (SACS) site visit in 2010, the Health Science Center sought to elevate the existing assessment and planning activities to a higher level with more fidelity among the assessment, planning and the budgetary processes. Although each of the schools handles its own independent accreditation requirements, there was a growing desire at the institutional level to enhance the culture of continuous improvement through an assessment process with a sophisticated linkage to the shared mission statement across all academic and administrative units.

A committee representing the various member schools surveyed institutions to determine what software was being used for assessment and SACS reaffirmation. Additionally, the group developed its own specific criteria required for success, including the efficient and consistent collection, storage, sharing and reporting of important records related to the assessment and continuous improvement process. After extensive review, TracDat was selected by the committee and recommended to the Executive VP for Academic Affairs.

TracDat is a powerful improvement process management solution. It supports enterprise wide strategic planning, academic and administrative outcomes management, as well as regional and specialized accreditation. Critical data is stored within TracDat for use by the Institution, Reporting Units or Assessment Units, so that the right people can access key information when and where it is needed. TracDat provides the critical capability to flexibly link data throughout the application to provide specific documentation of how institutional outcomes assessment results are being used to improve programs and learning.

The Health Science Center realizes that simplifying the process through the templates and reporting functions already inherent in the structure of TracDat will speed and ease the implementation process on a large scale of a such a comprehensive organization. Extensive use of dynamic labelling throughout TracDat enables different units within complex institutions to utilize their own assessment nomenclature within the application. Labels can be standardized by the Institution or Reporting Units, with individual Reporting Units or single Assessment Units choosing its own unique labelling.

Although the SACS reaffirmation is a driving force to enhance assessment efforts at this time, the UT Health Science Center at Houston foresees many uses beyond this reaffirmation process for their other external constituents. It understands that assessment activities should be part of an ongoing process in the organization, not an activity linked only to accreditation requirements. The Health Science Center will use TracDat to manage program improvement across the extended enterprise of students, faculty, and administration, including goal and objective setting and tracking, planning and sharing best practices.
